References to “we”, “us”, “our” or “The Wedding Content Studio” in these terms mean the legal company identified above.
1. About these terms
These Terms & Conditions govern the supply of wedding photography, wedding content creation and related services by The Wedding Content Studio.
By making a booking, paying a deposit, signing an electronic contract, using our customer portal or otherwise accepting our services, you agree to these Terms & Conditions together with any booking-specific contract, quotation or service description supplied to you.
If there is any conflict between these general Terms & Conditions and a booking-specific contract signed by you, the booking-specific contract will take priority to the extent of that conflict.
2. Our services
We may provide one or more of the following services:
- wedding photography;
- wedding content creation;
- combined photography and content creation packages;
- additional photography or content creators;
- engagement or pre-wedding sessions;
- digital galleries, films, clips and downloadable content;
- customer portal services;
- wedding guest portal services;
- additional services or optional extras agreed at the time of booking.
The exact services included in your booking are those shown in your booking summary, quotation and signed contract.
3. Enquiries and availability
An enquiry does not reserve a date and does not create a contract between us.
Availability is subject to confirmation. A date is not secured until all booking requirements stated by us have been completed, including any required deposit and contract signature.
Where a booking remains incomplete, we may continue to accept enquiries for the same date.
4. Building your booking
Our online booking journey may allow you to select a service, package, wedding date, optional extras, venues and other booking details.
Prices displayed during the booking process are based on the information provided at that time. If the information you provide changes, including venue locations, coverage requirements, travel or additional services, the total price may also change.
We reserve the right to correct obvious pricing, calculation or technical errors before a booking is confirmed.
5. Wedding date and venue availability
Our service is subject to availability on your chosen date.
Where our booking system indicates that a date appears available, this is subject to final confirmation and any existing provisional holds or commitments.
If we cannot accept your booking after payment has been made due to an error in our availability system, we will refund any amount paid for that booking.
6. Service area and venue locations
Our core service area is Norwich and the surrounding area as specified during the booking process.
You must provide accurate venue addresses and postcodes. We may decline or amend a booking where the location falls outside the service area we are able to cover.
Where your wedding uses more than one location, such as separate ceremony and reception venues, additional travel charges may apply. These may be calculated using mileage, number of venues or another method shown during the booking process.
7. Prices
The price payable is the price shown in your booking summary at the time your booking is created, subject to any agreed amendments.
Additional services requested after booking may be charged separately.
Where prices are stated as being subject to travel, additional hours, premium dates or other conditions, those charges will be added where applicable.
8. Deposits
A deposit may be required to secure your booking. The amount or percentage required will be shown during the booking process or in your booking summary.
Unless otherwise stated in writing, a booking is not confirmed until the required deposit has been received and the applicable contract has been signed.
Deposits are normally treated as a payment towards the total booking price and may also reflect the administrative work, date reservation and preparation undertaken by us.
9. Payment by bank transfer
If you choose to pay by bank transfer, the relevant bank account details and payment reference will be provided during the booking process.
Bank transfer payments are not treated as received until the funds have cleared into our account and have been manually confirmed by us.
You are responsible for using the correct payment reference. Failure to do so may delay confirmation of your booking.
10. Payment through Square
If you choose to pay online, payments may be processed by Square or another payment provider identified at checkout.
Your payment is subject to the payment provider’s own terms, technical availability and fraud-prevention checks.
We do not normally store your full payment card number or card security code.
11. Contract signing
Our contracts are signed electronically.
You may be asked to draw your signature using a touchscreen, mouse, trackpad or similar device and to enter your full legal name.
By submitting your electronic signature, you confirm that you intend to sign and agree to the contract.
We may record information such as the signing date and time, IP address, browser information and the version of the contract signed.
12. Contract availability following bank transfer
Where you choose bank transfer, we may require the deposit to be received and manually verified before your contract-signing link is released.
Once the payment is confirmed, we may send you a time-limited or one-time contract-signing link by email.
You must not forward a secure contract link to another person unless that person is authorised to sign on your behalf.
13. Signed contract PDF
After your electronic contract has been signed, we may generate a PDF copy containing the agreed contract information and electronic signature.
Where available, the signed PDF can be downloaded through your customer portal. You are responsible for retaining copies of documents you may need after portal access ends.
14. Remaining balance
Any remaining balance must be paid by the due date shown in your booking or contract.
If payment is not made when due, we may suspend work, withhold delivery, cancel the booking or exercise any other rights available to us under the contract or law.
15. Changes to your booking
You should tell us as soon as possible if you wish to change your wedding date, venue, package, coverage hours or other material booking information.
Changes are subject to availability and may result in additional charges.
A request to change the date is not automatically accepted. If we cannot accommodate the new date, the booking may be treated as a cancellation subject to the cancellation terms below.
16. Customer cancellation
If you wish to cancel your booking, you must notify us in writing.
Any refund or amount remaining payable will depend on the circumstances, the timing of cancellation, work already completed, costs already incurred and the terms of your signed contract.
Where a deposit has been paid, it may be non-refundable where this is fair and lawful, particularly where it reflects work already performed, administrative costs or loss resulting from reserving the date.
17. Cancellation or inability to perform by us
If we are unable to provide the booked service due to illness, emergency or circumstances outside our reasonable control, we will use reasonable efforts to provide an appropriate replacement photographer or content creator where practical.
If we cannot provide the booked service and no suitable replacement can be arranged, our liability will normally be limited to refunding the amount paid for the part of the service we cannot provide, subject to your statutory rights.
18. Events outside our reasonable control
We are not responsible for delay or failure caused by circumstances outside our reasonable control, which may include severe weather, venue closure, transport disruption, serious illness, government restrictions, power or communications failure, public disorder or other exceptional events.
Where such circumstances arise, we will communicate with you and take reasonable steps to minimise disruption.
19. Cooperation on the wedding day
You agree to provide reasonable cooperation and access required for us to perform the booked services.
You are responsible for ensuring that relevant venues permit photography, filming and content creation.
We are not responsible for missed images or content caused by restrictions imposed by venues, officiants, registrars, guests, other suppliers or circumstances outside our control.
20. Timings and schedules
You are responsible for providing accurate event timings and notifying us of material changes.
If the wedding schedule runs late, we are not automatically required to remain beyond the booked coverage time. Additional coverage may be available subject to availability and additional charges.
21. Photography style and creative discretion
By booking us, you acknowledge that photography and content creation involve artistic and creative judgement.
We will use reasonable professional skill and care but cannot guarantee a specific number of photographs, clips, reactions or particular moments unless expressly agreed in writing.
Selection, editing, colour treatment, framing and delivery style remain subject to our professional judgement, consistent with the service booked.
22. Content creation services
Wedding content creation is intended to capture candid, behind-the-scenes and social-first moments from your day.
Content creation does not replace professional photography or traditional videography unless expressly stated as part of the package booked.
Short-form edits and social-media content may be delivered in vertical or platform-friendly formats.
23. Delivery times
Any delivery times stated are estimates unless expressly guaranteed in writing.
Delivery times may be affected by workload, illness, technical issues, volume of content, third-party services or circumstances outside our reasonable control.
24. Online galleries and portals
Where included, we may provide photographs, content, contracts, payment information and communications through an online customer portal.
You are responsible for keeping your login details secure and must notify us if you believe your account has been compromised.
Your email address may act as your login identifier and may therefore require administrator assistance to change.
25. Secure messages
Messages exchanged through the customer portal may form part of your booking record.
You should use the messaging system appropriately and must not send unlawful, abusive, threatening or harmful material.
26. Guest portal access
Where guest portal access is provided, guests may be required to enter a unique wedding access code and create their own account.
Guest access is intended only for authorised guests connected with the relevant wedding.
Guests may be able to connect their account to more than one wedding where they hold valid access codes.
27. Guest uploads
Guests may be permitted to upload photographs, videos and other content to a private wedding space.
Anyone uploading content confirms that they are entitled to upload and share it and that the content is not unlawful, abusive, defamatory or a serious infringement of another person’s privacy.
We may remove content where we reasonably believe it breaches these terms, applicable law or the rights of another person.
28. Intellectual property
Unless otherwise agreed in writing, copyright in photographs, edited content, videos, graphics and other original creative works produced by us remains with us or the relevant creator.
Once full payment has been made, you are granted a personal, non-exclusive licence to download, display, print and share delivered wedding content for your own personal and non-commercial purposes.
You must not sell, commercially licence, materially alter or falsely represent our work as being created by another person without our written permission.
29. Social media and promotional use
We will only use wedding photographs or video content for our own portfolio, website, social media, advertising or promotional purposes where we have an appropriate lawful basis and, where required, appropriate permission.
Any specific promotional-use agreement may also be recorded in your booking contract.
30. Storage and backups
We take reasonable steps to protect and back up active wedding content, but customers should download and safely store delivered files once they become available.
We do not guarantee indefinite storage unless an archival service has been specifically included or purchased.
31. Technical failures
We use reasonable professional care with cameras, storage media, software and online systems. However, no technology is completely free from risk.
If photographs or recordings are lost or damaged due to an unforeseen technical failure despite reasonable care, any remedy will be assessed in accordance with the circumstances, the service affected and applicable consumer law.
32. Third-party suppliers and services
We may use third-party services including payment processors, hosting providers, gallery providers, email providers, subcontract photographers or content creators.
Where third-party services are provided directly to you under separate terms, those services may also be subject to the supplier’s own terms and conditions.
33. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
Subject to your statutory rights, we are not liable for indirect or consequential losses that were not reasonably foreseeable when the contract was entered into.
Where permitted by law, our total liability arising from a booking will normally not exceed the total amount paid or payable to us for the affected booking.
34. Your statutory rights
Nothing in these Terms & Conditions affects any rights you have under applicable consumer law that cannot legally be excluded or restricted.
35. Personal information
We process personal information in accordance with our Privacy Policy, which should be read alongside these Terms & Conditions.
36. Changes to these terms
We may update these general Terms & Conditions from time to time. The version applying to a confirmed booking will normally be the version in force when the relevant booking contract was entered into, unless a later change is required by law or expressly agreed with you.
37. Transfer of rights
You may not transfer your booking or contractual rights to another person without our written agreement.
We may use employees, contractors, associate photographers or content creators to perform parts of the service while remaining responsible for the contract with you.
38. If part of these terms is invalid
If any provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.
39. No waiver
If we do not immediately enforce a right under these terms, this does not mean that we have waived that right.
40. Governing law and jurisdiction
These Terms & Conditions and any contract between us are governed by the law of England and Wales unless applicable consumer law requires otherwise.
If you are a consumer, you may also be entitled to bring proceedings in the courts applicable to the part of the United Kingdom in which you live.
41. Contact
If you have a question about these Terms & Conditions, your booking or your contract, please contact us through the Contact page on this website.
